How many cars does a wedding need? A fleet planning guide
Plan wedding transportation from the guest list: airport pick-ups, venue shuttles, luxury cars for the family and vintage cars for the entry, with simple rules of thumb.

Wedding transport is usually planned last and blamed first. Guests remember the forty-minute wait at arrivals and the shuttle that left without them far longer than they remember the menu. The fix is simple: plan the fleet from the guest list, not from a feeling.
Here is how we size a wedding fleet, with the same rules of thumb our fleet planner uses.
Start with three questions
- How many guests are confirmed? Use the RSVP count, not the invitation list.
- How many are travelling in? Outstation and NRI guests need airport or station pick-ups. Local guests usually drive themselves.
- How many venues are there? One venue means arrivals and departures. Three venues across a weekend means shuttle loops between them.
Airport and station pick-ups
Allow one sedan or SUV for every three to four guests arriving by air or train. Wedding guests travel with luggage, gifts and outfits, so a car that seats five rarely carries five. Group pick-ups by arrival time: guests on the same flight share cars, and a greeter at arrivals keeps the family together.
For 300 guests with about half flying in, that is roughly 43 car runs across the arrival days, not 43 cars sitting idle at once. The runs are spread across flights, which is why the schedule matters as much as the count.
Venue shuttles
When guests stay at one hotel and the functions are elsewhere, shuttle loops beat dedicated cars. A 40-seat coach moves forty guests per run. For each function, count the guests who need the shuttle, divide by forty, and you have the number of coach runs. Urbanias, which seat up to sixteen, work well for smaller groups and narrow venue roads.
Two rules keep shuttles on time: publish the shuttle times on the hospitality desk and in the guest message, and keep one vehicle in reserve for the late departures nobody plans for.
Cars for the couple, the family and VIPs
The couple, the parents, elders and VIP guests need cars that wait for them rather than a seat on a shuttle. Plan at least one dedicated luxury car, and a second when there are three or more venues. Premium SUVs work well for elders who find low cars difficult.
The entry car
A vintage car for the couple’s entry or the baraat is a moment, not a transfer. Book it early, confirm the route and timing with the venue, and have someone from the event team walk the route with the chauffeur. Keep guest cars and shuttles away from the entry route while it happens.
